UKEL is a newly established, trusted partner for hosting global sporting events in the UK, providing an agile, flexible solution where NGBs or local authorities cannot host themselves. Established to serve a core need for the industry, our vision is to be an integral part of the UK events ecosystem, renowned for gold standard delivery and impact.


UKEL has a portfolio of events, either delivered in-house (such as the Inclusive Sport and Culture Festival, Liverpool 2027) or through a separate company in the UKEL group - i.e. the Tour de France and Tour de France Femmes Grand Depart in 2027. Further events are due to be announced this summer and we anticipate hosting three major events per year.


UKEL also provides a range of event services to the industry including National Governing Bodies, Local Authorities and Venues with services including major event strategy development, through to feasibility studies, event bidding and long-term legacy support. We also offer procurement support, project support and governance support.


As the business grows, we are seeking an Event Administrative Support professional to provide general support across the organisation and our expanding event portfolio. Working closely with the Operations Lead, the role will involve a variety of responsibilities, including financial administration, coordination and preparation for key meetings, and providing essential administrative support to event delivery teams.


UKEL is committed to professional development, and this role may also offer opportunities to support live events as part of event-time delivery.

 

Key Responsibilities

  • Provide day-to-day administrative and organisational support to the UKEL team across its event hosting and event services portfolio.

  • Act as the point of contact for general UKEL enquiries, directing and answering queries to a high customer service level.

  • Manage diaries, schedule meetings and help coordinate site visits and working groups as required.

  • Prepare high-quality documents including agendas, minutes, presentations, reports and briefing notes.

  • Support the coordination of multiple workstreams across the event portfolio, ensuring information is up to date, accurate and delivered in a timely manner.

  • Assist with the contract and supplier administration, including record keeping, supporting procurement processes and maintaining the supplier database.

  • Provide financial administrative support including raising purchase orders, processing invoices and team expenses in accordance with UKEL policy.

  • Support the planning and delivery of launch and engagement events.

  • Undertake any other administrative or coordination duties required to support UKEL and its portfolio of events.

 

Essential skills:

  • Proven experience providing administrative support in a busy, fast-paced environment.

  • Understanding of the major sports events sector and operating environment.

  • High standards of discretion and integrity.

  • Understanding of project management processes and tools.

  • Proficient with IT and proactive with the use of technology including MS Office applications (Word, Excel, PowerPoint, Teams and SharePoint).

  • Experience of coordinating meetings, preparing documentation and supporting governance activity.

  • Familiarity with working with multiple stakeholders.

  • Experience of working with suppliers and contractors.

  • Experience of financial processes and tools.

  • Ability to work both independently and as part of a team, often in a hybrid environment.
